There are a few easy ways to see and update who has access to your boards.


How can I tell if a board is shared or private?

The easiest way to see if a board is shared is to look at the Share menu at the top right of your board. The grey person icon with the + beside it indicates this board hasn't been shared with anyone, it's private. No one else has access to it.


​This board (below) indicates a stack of profile avatars, this indicates someone else has access to it.


How do I know who a board is shared with?

You can see a list of the people you've shared with by opening up the share menu. Just click the Share button in the top right of the board.

See who has access as an editor

Click the list of people under the "Current editors" title to reveal their names and emails.

See who has accessed the read-only board link

Click the link that says "3 people have viewed this link".


What do the icons on a board mean?

You can also tell if a board is shared by looking at its icon. Various symbols appear on boards that indicate their status:

  • The arrow tells you that this is a shortcut to a board located elsewhere

  • The eye means read-only: this board has the share via read-only link enabled

  • The person means editors: other people have been invited to edit this board

  • The minus (not pictured) means you no longer have access

You can tell whether a board is shared for editing by looking next to its title—you'll see this little person icon appear.

FAQs

I shared a board, but others are seeing content I didn't intend to share. How did this happen?

This usually occurs because a share setting was toggled on a board higher up in the navigation hierarchy. You can adjust the editors on a board to reconfigure the permissions.

  1. Turn off the "Invite editor with a link"

  2. If it's disabled, refer to the parent board that is named and turn it off there.

I've removed a user from a board. How do I add them back?

If a person tries to access a board they were manually removed from, they will receive an error message. To give them access again, you'll have to create a duplicate of the board to invite them to or contact support.

What happens when I delete content from a shared board?

Deleted content will appear in the "Deleted by others" tab of the trash in the bottom left. Content can be dragged out of the trash to be restored to the board.

How many people can I share with?

  • As many as you want

  • Make read-only boards when sharing with large groups, instead of adding everyone as editors. This can help prevent accidental deletions

  • Make unshared copies of important boards to preserve the content
