How to share boards with editors and viewers

There are 4 specific ways to share a board with someone:

  1. Invite someone to edit (requires a free Milanote account)

  2. Invite a group to edit (requires a free Milanote account)

  3. Invite someone to comment (requires a free Milanote account)

  4. Invite someone to view (doesn't require a Milanote account)


1. Invite someone to edit a board

Invite other people to add and edit content on a board. They will need to signup for a free Milanote account to edit. None of the content you've added will count towards their free account total.

Invite an editor

  1. Open the board you'd like to share

  2. Click Share in the top right of the board (note that any sub-boards within the board will also be shared)

3. Enter the email address of the person you'd like to invite into the Invite editors via email field. They'll receive an email with a link to the board.

2. Invite a group of editors

This is handy for when you want to invite a number of people to a board at once. E.g. You might want to paste a link to the board in a group messaging platform allowing anyone who clicks the link to edit the board. Here's how to do it...

  1. Enable the Invite editors via a shareable link option

  2. Copy the link

  3. Share the link with your collaborators

Please note that enabling the Invite editors via a shareable link removes your ability to restrict access to your board. Any Milanote user with the URL will be able to see and edit it. To restrict access for some users after the link has been enabled, just toggle it off and re-add users through the Invite editors via email field.

3. Invite someone to comment on a board

Let other people add comments to (but not edit) your board. It's a fast way to get feedback from clients or teammates. They will need to signup for a free Milanote account to comment.

Invite someone to comment

  1. Open the board you'd like to share

  2. Click Share in the top right of the board (note that any sub-boards within the board will also be shared)

  3. Turn on the Enable read-only link toggle. By default, the option to Allow comments, reactions & drawing will be enabled

  4. Copy the link

  5. Share the link with anyone. They'll be able to add comments and reactions to your board, plus use the drawing tool to mark up your board.

This option also lets you:

  • Set a welcome message: craft a special greeting for visitors to your board

  • Require a password to view: Set a password and restrict access to your board

  • Generate Embed code so you can embed the board in a website or app

4. Invite someone to view a board

Let others view a board without needing a Milanote account. It's a fast way to share with clients or teammates. They see a clean view of your board without all the editing tool. See this example 'view only' board

Invite to view a board

  1. Open the board you'd like to share

  2. Click Share in the top right of the board (note that any sub-boards within the board will also be shared)

  3. Turn on the Enable read-only link toggle. By default, the option to Allow comments, reactions & drawing will be enabled - you'll want to turn that off.

  4. Copy the link

  5. Send the link to anyone. They'll be able to see a 'read-only' version of your board

This option also lets you:

  • Set a welcome message: craft a special greeting for visitors to your board

  • Require a password to view: Set a password and restrict access to your board

  • Generate Embed code so you can embed the board in a website or app

FAQs

What if there's no option to share?

  • Are you on your home board? The only Milanote board you can't share is your home board - but you can move the content into another board for sharing.

  • Do you own this board? If someone shares one of their boards with you for review, it will not have the Share option.

  • Have you verified your account? When signing up for Milanote, you should have received an email asking you to click a link to verify your account.

What if I'm on a Pro plan and invite someone on a free plan to edit a board?

  • None of the content you add will count towards their 100 card total.

  • The person on the free plan will still be able to see and edit all content created by the person on the Pro plan.

For example, a designer at a creative agency might share a board with their client to ask for feedback. The client can view and edit any content on the board and add up to 100 cards for free, which is generally more than enough for this type of collaboration.
