Visual ways to add meaning and organize your content

Labels let you mark items in Milanote so you can visually organize related ideas, track status, or quickly find similar content later. They’re great for organizing research, planning projects, managing feedback, tracking tasks and more.

Create a label

Here’s how to add a new label to an item:

  1. Select one or more items on your board

  2. Choose Labels from the toolbar

  3. Type the name of your label

  4. Press Enter or select Create label

The label will be created and added to the selected item. New labels are given a color automatically, which you can change at any time.

Apply or remove labels

To apply a label:

  1. Select one or more items

  2. Choose Labels from the toolbar

  3. Select the labels you want to add from the list or search for a label you've used in the past

To remove a label:

  1. Select the item

  2. Choose Labels from the toolbar

  3. Untick the label you want to remove

You can also remove a label by selecting it directly on the item and pressing Delete or Backspace.

Edit a label

You can rename a label or change its color at any time.

To edit a label from the Labels menu:

  1. Open the Labels menu

  2. Find the label you want to update

  3. Choose the ... menu

  4. Rename it or choose a new color

You can also double-click a label on an item to rename it.

Note: Renaming a label changes it everywhere it’s used.

Delete a label

To delete a label:

  1. Open the Labels menu

  2. Choose the ... menu next to the label

  3. Select Delete

Deleting a label removes it from boards you have access to. If the same label is being used by someone else on a private board, it won’t be deleted from their private content.

Sharing labels

Labels work like other content in Milanote. If you add a label to a shared board, people who can access that board will be able to see and use the label too.

A label can be shared when you:

  1. Apply it to an item on a shared board

  2. Move an item with a label onto a shared board

  3. Move a board containing labelled items onto a shared board

Anyone with edit access to the shared board can use or edit shared labels. People with read-only access can see labels, but can’t edit them.

Search for labels

Items with labels appear in Milanote search, just like other content.

To search for a label:

  1. Open search

  2. Type the label name

  3. Select a result to jump to that item

You can also open the Labels menu and select the usage count next to a label to search for all items with that label.

Undo or redo label changes

Undo and redo work with labels the same way they work with other content in Milanote. You can undo changes like:

  1. Adding a label

  2. Removing a label

  3. Renaming a label

  4. Deleting a label


FAQs

Can I use labels on mobile?

Yes. You can add, remove and edit labels on mobile using the Labels option in the toolbar when you select an item.

Who can see my labels?

Labels you create are private until they’re used on a shared board. Once a label is used on a shared board, people with access to that board can see and use the label.

What happens if I rename a label?

Renaming a label updates it everywhere it’s used, including shared boards.
